Event Coordinator, #4 below? There is a lot there across many areas. If you
could at this time layout the tasks that are needed, the number of volunteers
in what capacities, and sequence of tasking that would be perfect. I would ask
you to discuss briefly at the next PGD monthly meeting.

1. Registration and Pre on-course activities: This would involve
constructing a flow plan for getting golfers from the drop bag area to
registration sign-in to goodie bags distribution to flow and awareness to
golfers of pre on-course events from putting to marshmallow drive to grabbing
breakfast to ushering everyone to their carts. SOGAGG volunteer(s) needed.
1. On-course event activities: This has to do with communicating the planned
hole-by-hole details/rules to Divot so it can be communicated to the
volunteers, along with managing the volunteers over the course of the day. I
(Shaft) have this one.
1. Post on-course event activities: This is conceiving a plan to flow
personnel once completed with their golf, gathering scorecards, forwarding
timecards to score keepers, score keepers quickly figuring out winners, routing
golfers to drop off their clubs, returning to the clubhouse to have lunch,
generating an agenda and outline for the MC to thank sponsors, tell some
raunchy jokes, and announce the winners. This would also include the set-up,
day of flow, and money collection for the silent auction. SOGAGG volunteer(s)
needed.
1. Post course activities: A lot to do with the Pre-Day of Event
activities, but in reverse, remove signs, remove coolers, canopies, tables,
banners, etc. Recommend this volunteer team with the Pre-Day of Event
coordinator. SOGAGG volunteer(s) needed.
Rules/Ace – if you would like to elaborate on any of the different pre,
real-time or post Day of Event activities (I may have missed something), please
weigh in, otherwise I will proceed with the scope above for each Day of Event
activity.

We had a productive status meeting today. Highlights below:
Please note some new roles and responsibilities.
Many of you have spent a great deal of time and effort creating plans and
then effectively working to those plans. We are on track for a successful
event.
• Executive Director: Provided an overview.
Agreed to sponsor two foursomes. Separate email to follow.
• Sponsorship: Great deal of effort has
resulted in over $10K of sponsorship pledges. Additional leads identified and
individuals have agreed to follow up.
• Finance: Extensive, well-thought out
finance reports are being issued periodically. Woods, Please change your
distribution to all SOGAGG and Mike Parente.
• Non-sponsorship, Off-course Fundraising
(NOF): Skully has a Deloitte team working this. Docho is assisting. On track
for an excellent silent auction, etc.
• Non-sponsorship, On-course Events (NOE):
Comprehensive draft plan issued for review. Comments under review.
• Web Site: Mature and being updated as
needed.
• Registration Site: Mature and being
updated as needed.
• Day Before Event: Assistants: All Hands.
Will work with course to set up event to ensure a smooth start to tee offs at
0730 6 August 2018.
• Day of Event: Effective plans in draft to:
* Husband players from their cars, through check-in, to their carts, to
breakfast , monitor the putting contest, and otherwise assist players onto the
course.
* Conduct actions required during the golf round: As many as 30 volunteers
at various locations on the course husbanding the on-course contests.
* Manage the after-party flow. Conduct the Silent Auction; make a record
of winners and collect payments.
* Prepare a script for speakers, sponsor videos, and award presentations.
• Assistant Day-of-Event Directors. We need
a larger team to assist Shaft in the preparation for and conduct of the Day of
Event. These SOGAGG members are assigned to this function:
* Bagger, Birdee; DoCho; Divot; Hazard; OB; TBD; Trek. All others as
available. Check in with Shaft regarding his expectations for you on the Day
of Event.
• External Communications: Comprehensive
plan being effectively executed.
• SOGAGG Foursome: Chi Chi; sHank; Axe; Ace.
Represent SOGAGG in the Patriot Golf Day. Starting Hole: Number 10.
