Using the Format Painter


Introduction:
If you find yourself applying the same formatting to characters and/or
paragraphs again and again, then you should familiarize yourself with the
format painter. The Format
Painter allows you to copy the formatting of text and apply it elsewhere. 

Step 1. Copy and paste the paragraphs below into a word document.

               In sunshine and in shadow,
                   Had journeyed long,
                   Singing a song,
               In search of Eldorado.
 
                   But he grew old-
                   This knight so bold-
               And o'er his heart a shadow
                   Fell as he found
                   No spot of ground
               That looked like Eldorado.
 
                   And, as his strength
                   Failed him at length,
               He met a pilgrim shadow-
                   "Shadow," said he,
                   "Where can it be-
               This land of Eldorado?"
 
                   "Over the Mountains
                   Of the Moon,
               Down the Valley of the Shadow,
                   Ride, boldly ride,"
                   The shade replied-
               "If you seek for Eldorado!"

Step 2. 
Select the first paragraph of the poem using the selection keys; "Shift +
end key" to highlight a line. 
"Shift + control + down arrow" to select the following lines.

Work your way down through the first lines of the paragraph continuing to
hold down the keys shift + control + down arrow till you come to the last
line of text in the first paragraph.

Note: We are going to use a particular format on the first paragraph. We
will make the first paragraph bold text.

Step 3.
For screen reader users, after you have selected the first verse, then press
keys, "control + letter B" to have the entire verse converted into bold
writing.

Step 4.
Now I have decided that we will use the same formatting on all the other
verses. To do this, 
Step 1.
Move to the beginning of the first paragraph once more and then select all
the lines of that particular verse as you did before.

Step 2.
After having selected the text again, use keys, "control + shift + letter C"
to copy the formatting to the clipboard.
Jaws or window eyes should say something like (Copied formatting to
clipboard).

Step 3. After you have successfully copied the formatting to the clipboard,
move down to the second paragraph and select it as you have learned before. 

Step 4.
Once the lines of the second verse are selected, use keys "control + shift +
letter V" to paste the formatting onto this paragraph. Now if you want to be
sure that the formatting has indeed copied over, use the jaws keys of,
"insert + letter F" to have jaws tell you that your text is now in bold
lettering.

Note: You can only ever copy the formatting once for each paragraph. This
means that after you have pasted the bold formatting onto the second
paragraph, you need to go back to the first or now the second paragraph
which contains bold text and after selecting one of these verses use the
copy format keys of "control + shift + C" to take another copy of the
formatting for applying to the third verse of the poem. Remember to repeat
what I have instructed above for each new verse of the poem you want to
format using the bold, underline or any other type of formatting you wish.
You can do this for heading styles as well.

Magnification users, Double-clicking the Format Painter button allows you to
copy the same formatting several times. If you had clicked the Format
Painter button only once,
It would only allow you to apply the copied formatting one time. Notice the
pointer changes to a paint brush at this point...

SELECT THE TEXT OR PARAGRAPH WITH THE FORMATTING OPTIONS YOU WANT TO COPY.

CLICK THE FORMAT PAINTER BUTTON ON THE STANDARD TOOLBAR.

DRAG THE FORMAT PAINTER POINTER ACROSS THE TEXT OR PARAGRAPH WHERE YOU WANT
TO APPLY THE COPIED FORMATTING.

TO COPY SELECTED FORMATTING TO SEVERAL LOCATIONS:
SELECT THE TEXT OR PARAGRAPH WITH THE FORMATTING OPTIONS YOU WANT TO COPY.

DOUBLE-CLICK THE FORMAT PAINTER BUTTON.

DRAG THE FORMAT PAINTER POINTER ACROSS THE TEXT OR PARAGRAPH WHERE YOU WANT
TO APPLY THE COPIED FORMATTING.

CLICK THE FORMAT PAINTER BUTTON WHEN YOU'RE FINISHED.
