It's automatic when you validate or submit a book - but I would keep a list of books you submit or validate, anyway, just in case, to doublecheck that they have given you the credits. Last year, near the end, I checked and they had not given me a couple book credits, so I was able to use that list and figure it out, and supplied the list when there was a question about the credits. The Bookshare folks corrected the credits.
