Source data (a table/list of information e.g. Title, First name, County.) NOTE: It is assumed that the data source (i.e. names, addresses etc. are to be set up as a Word list) Write your letter in a blank Word document leaving spaces where the inserted fields are to appear. Press ALT+T to go to the TOOLS menu Arrow down to Letters & mailings Press ENTER If not automatically placed on Mail merge wizard, arrow down to it and press ENTER MAIL MERGE Wizard STEP 1: Ensure LETTERS is checked Tab to NEXT button Press ENTER or SPACEBAR MAIL MERGE WIZARD STEP 2: USE CURRENT DOCUMENT should be checked, if it is not arrow down to it and press SPACEBAR TAB to NEXT button Press ENTER or SPACEBAR MAIL MERGE WIZARD STEP 3: Automatically placed on option to USE EXISTING LIST (not suitable in this case as our data source has not been set up) Arrow down to TYPE A NEW LIST TAB to CREATE button and press ENTER or SPACE NOTE: it is advisable at this stage to create the structure of the data table first, without entering data into the table. TAB until reach the CUSTOMISE button This places you in the Field names section.arrow up and down until you come to one which you need to change 1.. To rename STATE to COUNTY Arrow up/down until you are on the STATE field TAB to RENAME button Press ENTER or SPACEBAR Type the new name of the field, in this case COUNTY TAB to OK button Press ENTER 2.. To delete Company name field Arrow up/down to COMPANY NAME TAB to DELETE button Press SPACEBAR Dialogue asked you "Are you sure.." Press Y for YES TAB to Field name list and continue. 3. To ADD in Extra field: TAB to ADD FIELD button Press SPACEBAR TYPE field name When you have finished making changes to the structure of your table TAB to the OK button and press ENTER Now we must enter the detail into the table. TAB until you hear ENTER ADDRESS INFORMATION. JAWS will announce the field name TITLE Type data TAB to next field and type data NOTE: if when tabbing to new fields JAWS fails to announce field name simply SHIFT+TAB and TAB again and it will be announced when JAWS reaches the field for a second time. After you have typed in the first set of data, i.e. the first row in the table (all the data pertaining to one person) TAB to the NEW ENTRY button and press ENTER Fill in the next set of details and so on When all details have been entered, TAB to the CLOSE button and press ENTER You will be asked to save the address list (the table containing the detailed data) Type a file name TAB to the SAVE button and press ENTER Now we must select our fields for entry into our main document (letter) TAB to the SELECT ALL button and press ENTER This allows you to use all the fields of your table in the mail merge. TAB to OK button and press SPaCEBAR TAB to NEXT button and press SPACEBAR MAIL MERGE WIZARD STEP 4: Here you must do two things: 1. Place the cursor in the position you want a field to be inserted in the document 2. Select the field to be inserted at that position Press F6 which will bring you back to the document window. Move the arrows to position yourself where you want the field to be inserted: e.g. after Dear * Press F6 again to go back to the wizard. Arrow down to MORE ITEMS and press SPACEBAR .. this brings up the list of fields in your table. Arrow down to the field required TAB to the INSERT button Press SPACEBAR TAB to the CLOSE button Press SPACEBAR {Press F6 again to go back to the document. Arrow around until you are in the position where you want the second field to be positioned. F6 again to go back to the wizard. On MORE ITEMS press SPACEBAR Arrow up and down to the required field TAB to INSERT Press SPACEBAR TAB to CLOSE Press SPACEBAR} Repeat for as many fields as required to be inserted into document.
