Correcting Your Spelling Note:This email lesson contains an attached file, copy it over into your documents folder for future use. Introduction: In this lesson, you will learn how to use what many people think is the neatest feature of word processors: the spell checker. Word identifies spelling errors, grammar errors and repeated words as well. What's more, Word checks for these errors as you type, highlighting spelling errors with a red underline and grammar errors with a green underline. For example, the word "studentss" in the second line of the demo is mis-spelled with two "letter S's" at the end of it when it should only have one. A sighted person will note there is something wrong here as it will have a "red line" underneath it for it to be noted. You can if you are using magnification also see this and do something like the following; Step 1. Magnification users, Right-click the red-underlined word, studentss , in the second line of the memo . Screen reader users, use your arrow keys to go down to the second line of the memo and then move right or left arrow to the word "studentss" then press the "application key" on your keyboard for the same affect as right clicking with the mouse. Now follow the below instructions; A shortcut menu appears with suggestions for the correct spelling and several other options, Options; *. Ignore All: Leaves the spelling as it is and ignores it throughout the rest of your document. *. Add to Dictionary: Adds the word to the spelling dictionary, so that Word won't nag you about it during future spell checks. Use this option for nonstandard words you use often. *. Spelling: Allows you to activate the spell-checker and will give you an optional correct spelling for the word suchas "Student". *. Possible spelling choices: These are usually words attempt at giving you some corrections for the word "Studentss" just as you right click on the incorrect word. *. Auto correct: This option will do the automatic spell checking for you should you decide to choose it. Note:If there are words that you know to be correct such as perhaps your name or the address of your home, workplace etc then You can add your own words to the spelling dictionary so Word won't recognize them as spelling errors in the future. To do this, right-click the red-underlined word and select Add . Screen reader users; Press key, "F7" to activate the spell checker and While in there if you come to any spelling that you feel is correct but word is signalling is not then you can use the "tab key" to jump to the "add button" which will add any of your own custom words into a special custom dictionary. This dictionary is contained within word for future reference. Step 3. Once you have either chosen an new word, or chosen add or ignore a change of word for the "Studentss" mistake The squiggly red underline under the word "Studentss " disappears or remains, depending on what you decided to do. I have chosen to fix the spelling mistake and so the red line is gone. *. The next error in the document is the misspelled word "organization ." Step 4. Magnification users, Right-click the red-underlined misspelled word organiization and select the correct spelling, organization, from the suggestion menu . Screen reader users, As you check through the document with the spell checker "F7" when you come to "organiization", tab key once and notice that the correct spelling will be chosen which is "organization" so press keys "left alt + C" to have the mis-correction changed to the correct spelling. Word makes the spelling correction. Step 4. The next error is the repeated word "with." Magnification users, Right-click the red-underlined word "with" located near the end of the first paragraph in the memo . Screen reader users, Jaws or window eyes should announce to you that you have come upon a double word and offer you the choice of "delete repeated word word", you can tab key to this button and hit the space bar to clear it off. *. Word deletes the extra word. No doubt about it, Word's spelling checker is a great tool to assist you in creating accurate documents. It's important to note, however, that Word will not catch all of your spelling errors. For example, if you mistyped the word "hat" when you meant to type "had" Word wouldn't catch it because "hat" is a correctly spelled word. QUICK REFERENCE TO CORRECT A SPELLING OR GRAMMAR ERROR: RIGHT-CLICK THE SPELLING OR GRAMMAR ERROR AND SELECT THE CORRECTION FROM THE SHORTCUT MENU. Or you can press "F7" to begin the spell checker. TO IGNORE A SPELLING OR GRAMMAR ERROR: RIGHT-CLICK THE SPELLING OR GRAMMAR ERROR AND SELECT IGNORE ALL FROM THE SHORTCUT MENU. Screen reader users, you can tab key to the "ignore button" or press keys, "left alt + I" at any word you do not want to change during the spell check. TO ADD A WORD TO THE SPELLING DICTIONARY: RIGHT-CLICK THE WORD YOU WANT TO ADD AND SELECT ADD TO DICTIONARY FROM THE SHORTCUT MENU.
